Terms of service
Last updated: 2 October 2026. These terms apply to new orders from this date; earlier orders retain the terms agreed when purchased.
VAULT SOP Systems terms of sale and use
These terms apply to this website and new catalogue orders. The seller is Luke Steven Datson, trading as VAULT SOP Systems. Contact the seller at vaultsopsystems@gmail.com or 135 Dolgwenith, Llanidloes, Powys, SY18 6YT, United Kingdom. Product-specific information and any separately agreed written scope form part of your contract. Nothing in these terms excludes rights that cannot lawfully be excluded.
1. The documentation
We supply digital SOP reference documents, record templates and agreed documentation services. The listing describes the edition, included files and functionality. No equipment, consumables or controlled substances are sold as part of a documentation purchase.
References to GMP or GACP describe the subject matter and intended documentation context. They are not claims that VAULT, its documents or the purchasing facility are certified, accredited, regulator-approved or guaranteed to pass an audit. Documents do not provide legal or medical advice.
2. Review and lawful use
Use is limited to activities lawful in the operating jurisdiction. The purchasing facility must verify current laws, permissions, manufacturer instructions, equipment suitability, process risks and quality-system requirements. Its authorised personnel must adapt, validate where required, approve and control the document and train users before operational use. Reference signatures do not authorise production at the purchaser's site.
3. Licence and third-party rights
Unless expressly agreed otherwise, the purchased version is licensed for one purchaser's internal use at one facility, including controlled copies for its authorised team. Permitted adaptations, adviser access and restrictions are set out in Licensing & Use. Resale, public redistribution and sublicensing are not permitted. Editable source files and future revisions are included only where expressly listed.
Third-party equipment and brand names identify the subject of a document. VAULT is an independent documentation provider and does not claim those brands' sponsorship, approval or endorsement. Third-party trademarks and other rights remain with their owners.
4. Ordering and payment
Choose a product, review the included files and licence, add it to your cart, check the order details, enter your contact and payment details and use the checkout payment button. You can correct details before payment. Orders and contractual information are provided in English.
The store displays the applicable currency. Displayed product prices include applicable taxes; checkout shows the final total before payment. Digital catalogue downloads have no postal delivery charge and no recurring subscription unless expressly identified before ordering. Available payment methods are shown at checkout.
Our contract is formed when we send an order confirmation accepting the order. If we cannot supply it or cannot lawfully accept it, we will tell you and refund payments taken for the unavailable content. We will not charge a higher corrected price without your agreement. Price or term changes made later do not alter an accepted order.
5. Delivery and technical requirements
Delivery and compatibility are explained in our Digital Delivery Policy and the product listing. Use an accurate email address. Let us know promptly if access fails; this does not limit statutory time limits or remedies. You may save or print these terms. Retain your order confirmation and the version of the terms agreed at purchase.
6. Cancellation and remedies
Our Refund & Digital Product Policy explains consumer cancellation, business change-of-mind rules and remedies for faulty or misdescribed digital content. Immediate supply removes a consumer cancellation right only where all applicable legal requirements for express consent, acknowledgement and confirmation have been met.
7. Custom services and revisions
Custom work requires an agreed written scope covering outputs, price, milestones, revisions, delivery and cancellation. We provide services with reasonable care and skill. A catalogue purchase does not include ongoing legal monitoring, implementation or unlimited updates unless expressly agreed.
8. Responsibility and liability
VAULT remains responsible for meeting its contractual obligations and applicable legal duties. Site adaptation requirements do not remove your rights where supplied content is faulty or not as described. A purchaser remains responsible for its own operation, unauthorised changes and use outside the agreed scope.
Nothing excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability or consumer right that cannot lawfully be excluded or limited. We do not guarantee operational outcomes, certification or regulatory acceptance.
9. Privacy and complaints
Our Privacy Policy explains how personal information is used. Marketing consent is separate from a purchase. Send order or licence complaints to vaultsopsystems@gmail.com; we will investigate and explain our response. If a consumer complaint cannot be resolved, we will provide information about any applicable dispute-resolution route as required by law.
10. Applicable law
These terms are governed by the law of England and Wales. Consumers retain the mandatory protections and court rights available under the law applicable to them, including any right to bring proceedings where they live. Business disputes are subject to the courts of England and Wales unless a separate written agreement says otherwise.
